Practical IT FAR: serials, custodians, QR on accessories, and endpoint agent rollout without breaking finance codes.
Build the IT asset master correctly
Import laptops/desktops with Asset Code (finance), Serial Number (IT), Custodian, Department, and Unit. Monitors, docks and servers are separate assets if capitalised separately. Do not put five devices in one Excel row “Laptop bag”.
- Asset Code stays stable even if hostname changes
- Serial Number is the join key to endpoint agent reports
- Custodian = employee responsible; update on every transfer
- Status discipline: In Use / In Store / Under Repair / Disposed
Joiner–mover–leaver in FAR (not email)
Joiner: create/assign asset, print QR if needed, set custodian. Mover: use transfer workflow between departments/units. Leaver: recover asset, update custodian to IT Store, verify serial, wipe per IT policy, then reassign. Finance depreciation continues until disposed/sold — recovery ≠ disposal.
- HR exit checklist item: FAR custodian cleared
- IT Store as a location/unit for spare pool
- Weekly exception: agents reporting users who left > 7 days ago
Endpoint agent — pilot then scale
Generate API key in FAR → install on 5–10 pilot machines in C:\SAC_FAR_Agent\ → confirm Agent Analysis shows check-ins → match serials to FAR → push via IT tools/GPO equivalent to the fleet. Fix mismatches (serial typos in Excel) before mass rollout.
- Pilot success criteria: >90% check-in within 7 days
- Document the local install path in IT runbook
- Finance reviews unmatched agent reports weekly in month one
What to show in IT + finance monthly meeting
Unmatched agent devices, FAR IT assets with blank serial, custodians blank, Missing from last verification, and AMC/warranty on servers. Close at least the top 10 exceptions every month.
