Best practices for multi-branch asset verification

Field playbook: create a campaign, scan statuses, close Missing/Damaged, and roll branch-by-branch without WhatsApp chaos.

Set up units the way you verify

If you verify by plant or city office, those must be Units in FAR before the campaign. Users assigned to Unit A should not see Unit B’s full register during fieldwork. Create the verification for one unit (or scoped set), not “entire company” on the first attempt.

  • Name units consistently with board packs (avoid “Branch1”)
  • Print Department QR PDF per department inside that unit
  • Give field staff search + verify rights only — not Delete

Campaign day — exact field workflow

Open the verification screen on phone/laptop. Scan QR (or search code). Mark Verified if found in expected condition; Missing if not found; Damaged if found but impaired. Add a photo when Damaged/Missing. Do not invent a fourth status in a notebook — capture it in FAR so finance sees it live.

  • Start at the gate/store with a sorted location list
  • One aisle/owner at a time — do not skip and “come back later” without a queue
  • Sync/save frequently on weak Wi-Fi; note offline gaps to re-scan
  • End of day: export progress % and open Missing list

Closing exceptions (the finance job)

Missing often means wrong unit, loaned asset, or disposed but not recorded. Damaged may need impairment/disposal workflow. Transfer the asset in FAR if it moved; do not only update Excel. Re-open a mini verification only for unresolved codes after corrections.

  • Age open Missing items: 0–3 days / 4–7 / 7+
  • Require a named owner for every Missing > 3 days
  • Write-off only with approval trail — not by deleting the row
  • Attach verification export PDF to the audit folder when campaign closes

Multi-branch rollout order that works

Pilot smallest or cleanest unit first → HO/admin unit → largest plant last. Parallel campaigns only after the pilot taught label quality and status discipline. Corporate can watch dashboards; branches clear their own exceptions.

  • Week 1: pilot unit
  • Week 2–3: remaining offices
  • Week 4: plants/warehouses
  • Hold a 20-minute daily stand-up only while campaigns are open
